We are looking for a bright, articulate, detail-oriented Senior Administrative Coordinator with outstanding problem-solving and communication skills to support our constant growth. If you are highly motivated and organized then this might just be the job for you. Your job as a Senior Administrative Coordinator can include everything from helping with time and daily management, scheduling of meetings, correspondence, note-taking, report creating, and offering other clerical duties. You can also expect to answer phone calls, take notes, schedule meetings, and send emails on behalf of your manager as well as organize events.

This role also requires a significant amount of communication and coordination with other staff and departments, including senior-level officials.


  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, and answer and direct phone calls
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Develop office policies and procedures, and ensure they are implemented appropriately
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
  • Provide assistance to staff, managers, and senior-level officers as needed
  • Manage communication including emails and phone calls
  • Provide assistance in filtering and forwarding communications to proper individuals and departments
  • Schedule appointments, meetings, and reservations as needed
  • Create, prepare, and deliver reports to various departments
  • Receive and forward communications to different staff and departments
  • Provide standard clerical duties as assigned
  • Process and report on office expenses
  • Receive invoices and review for accuracy
  • Maintain and order necessary office equipment and supplies, as needed
  • Manage travel arrangements and itineraries on behalf of the employer
  • Create written and typed reports, including memos and business letters
  • Help organize small to large scale events and provide ongoing assistance during events
  • Record notes and messages for the employer
  • Act as the first point of contact for the employer as necessary
  • Provide other administrative support as necessary
  • This is an office-based position, and candidates should be available Monday to Friday from 09:00 till 17:00

Required experience and skills:

  • Excellent verbal and written English and German communication skills, including excellent grammatical, editing, and proofreading skills
  • Highly organized and able to create an organized and easy-to-follow system for others
  • Ability to handle multiple tasks and duties simultaneously
  • Independently motivated, with the ability to take on tasks and duties without immediate direction
  • Excellent organizational skills, including strong attention to detail and the ability to manage time effectively
  • Effective interpersonal skills to interact appropriately with all levels of staff and external contacts 
  • Proven ability to maintain confidentiality for sensitive information
  • Proven work experience in Administrative Coordination for C-Level management and CEO
  • Hands-on experience with MS Office Suite and Google Workspace
  • Working knowledge of general office equipment
  • Basic math skills

  • Extremely effective communication skills with a talent for operating across different levels of an organization
  • A valid passport and the ability to travel domestically and occasionally internationally
  • A valid driver's license and ability to drive domestically and occasionally internationally
